Who You Work With Matters.

Header Image of Melissa from Cloud 9 Event Services

Your event is important for a multitude of reasons, and who you work with matters.  The person helping you plan the event will be with you from start to finish, and that relationship will work best if you know exactly what you are getting, and have built a rapport of trust with your planner.  It’s more important to find the right match, than to force a fit.  Here are a few things to look into when choosing a planner:

Contract – if the planner is a registered business, they should have a legal contract.  Don’t feel pressured to sign on the spot.  Take it home, make suggestions, and create a document that both you and the planner are happy with.

Samples – compare planners by seeing samples of their work.  View gallery albums online, follow them on social media, and see what kind of feedback is left regarding their work.

Insurance – In Canada most registered businesses have insurance.  When the proof of insurance is shared with you, be sure that it includes liability coverage, errors and omissions.  It is not uncommon for the planner to ask to be added to the venue’s insurance as additional insured.

Personality – even if your event is on the smaller scale, you will be spending a lot of time working with your planner.  That person should be someone you enjoy working with, a person who you feel comfortable trusting, and who you can communicate clearly with.  This is beneficial for both of you!  People work best with people they like. A few questions to keep in mind are, does the planner listen to your vision?  Can they work with deadlines?  Are they punctual?  Are they organized?

Credentials – Ask your planner if he or she is a member of any professional associations or has any industry designations.  Being active in the events industry means the planner is watching trends, and evolving with the market.  They may have a certificate, a program, or a diploma showing their technical training.

References – the planner should have these contacts on the ready, and past clients are the ideal people to speak with about meeting goals and building relationships.

The investment in a planner is worthwhile, so we recommend spending some time to ensure you have the right person for the job.  If you are interested in learning more about Cloud 9 Event Services, we would be thrilled to chat with you, and we aren’t the best fit, we will gladly send you some referrals to another local planner.  After all, who you work with matters!

10 Ideas for Kid’s Birthday Ideas During Quarantine

⭐️Decorate with what you have: Bows from Christmas, yep, those are great. Ribbon, garland, paper streamers. It may not be the themed party of your dreams, but it will signify that it’s a special day.

⭐️ Make an obstacle course: Use all the rooms in your house! Climb under tables, crab crawl down the hall, jump over piles of laundry (like me!), and land in a mountain of pillows!

⭐️ Invite Friends (virtually): Host a zoom meeting with your webcam, where friends can see and hear eachother. Best of all, it is free!

⭐️ Have a dance party: Youtube is an endless vortex of dance tutorials, and if you have an old Wii or an Xbox, put those old dance games to use and bust a move! If you’re really competitive, have a parents vs. kids dance–off!

⭐️ Create a Scavenger Hunt: Who doesn’t love a good scavenger hunt with a treasure at the end? Hide sticky notes as clues all over the house. Start simple, like “Go to where the umbrellas are kept” and work your way around the house. Don’t forget to use the outdoors if weather permits it.

⭐️ Bake something special: Use this time to make a special treat, and involve the kids too. If you can make a cake, even better! Have your little people help with the decorating, and licking the spoon.

⭐️ Order Delivery: Have your child pick their favourite restaurant and order take out or delivery. This means no cooking for you, and also supporting a local business. Double win!

⭐️ Get dressed up: Feeling like having a superhero party? Make some costumes for the whole family! If you haven’t worn anything with a waistband lately, break out the formal wear, why not? Let the kids choose their own style, or dress themselves.

⭐️ Have a backwards birthday: Make it a memorable day because it will be different than the current “Normal”. Eat cake and Ice cream for breakfast, wear clothes backwards, and put those slippers on the opposite feet because, let’s be honest, anything goes during isolation!

⭐️ Involve the neighbourhood: Get the word out to your local friends that it’s a special day, and ask neighbours to make signs for their windows. Walk around your block and enjoy all the love – at a distance!

Planning a celebration after our isolation is done? Contact us, we would LOVE to plan with you! #Cloud9EventServices

Tips for Events During the COVID-19 Crisis

15 ways that you can protect yourselves and your guests, should you be organizing any gatherings that cannot be shifted:

• Move your event online, if possible.
• Ensure you check the guestlist for anyone coming from a high outbreak region. If they do, suggest they not attend the event.
• Create hand washing stations at the entry point to the event requesting everyone wash their hands before entering.
• Hand sanitizer stations.
• Wrapped foods with no self-serve tongs or all pre-plated meals. Avoid buffets at all costs.
• No handshakes signs at the event.
• Move chairs apart as much as possible.
• Take tables seating down to six and do not seat more than six at a 60” round to reduce proximity.
• Clean and sanitize all mics, podiums before the between speakers.
• Do not allow the sharing of countryman headsets.
• No straws unless they are individually wrapped for each guest.
• Hire additional staff to sanitize and disinfect spaces – 14 and 4 hours pre-event.
• Ensure you are staying abreast of local health news and identify a cancellation endpoint for your event.
• Make a back-up plan should you have to cancel.
• Have a plan to deal with anyone who shows signs of illness during your event or conference and plan for including isolation spaces, waste removal and health care contacts.

Newlyweds Share Wedding Planning Advice

Wedding planning advice from Newlyweds

For the couples planning their wedding, here is some “Real Talk” from those who have walked down the aisle. Enjoy the 35+ pieces of advice from people who have leaned things the hard way!

Follow Us on Instagram and Facebook for more content you’ll love!

The little expenses add up quickly! Join a bride sell and swap group.  Someone else has had a similar theme and lots of decor to get rid of. –Mandy

Pay off your venue before your big day (we did installments each month), that way it’s one less person to pay on the day. -Rachel

I stressed out a lot about my jewellery.  Looking back, no one even noticed! –Nadine

Don’t wait for others to be ready to help with things. If you have a specific date to get things done, you can do it yourself, or ask family members to help. Your bridal party isn’t always available. -Michelle

You can’t rely on good weather, so have a plan B, just in case.  It’s worth the money to have peace of mind, instead of stressing about weather.  -Nicole

You don’t have as much time as you think you do!  That relates to every single thing.  Everything takes longer than you would imagine.  Dress alternations, Hair, getting dressed, picture time, etc.  –Crystal

Force yourself to make time (soon) after the wedding to do thank you cards.  Otherwise you’ll never get around to it.  -Leslie

Don’t discount having the groom involved, I actually wanted to be included in the planning.  -Mike

As the bride, try on dresses early so you have time to decide on the style and design! –Rachel

The most helpful gift for wedding party is literally covering costs like makeup or hair, even though it is easy to be tempted with cool personalized glasses or robes! -Mandy

Offer or suggest activities between the wedding and reception.  No one likes that strange limbo time in between, keep it to a minimum. -Melissa

Keep an organized binder for everything. –Stephanie

The day goes by really quickly and you’ll forget most of it. -Eric

Look for “Opportunity Bridal” – it’s the travelling wedding gown company who comes to many cities in the area once or twice a year.  It’s amazing trying on all the different styles of dresses without the pressure of a sales person. Plus you might even find your dream dress for 90% off!! –Mandy

When choosing a wedding party, give them time to think about their answer. Share your expectations with them, because everyone’s expectations of how they see your wedding are different. -Michelle

Plan ahead for everything, to give yourself enough time and avoid any undue stress on yourself. -Stephanie

Have fun, because it’s just one day.  –Joanne

Stay organized and get things done as soon as they can.  The week leading up to the wedding is always super busy.  -Emily

Hire a day of coordinator.  They’ll ensure your day goes perfectly with zero stress on you or your loved ones – worth every penny.  -Mandy

Fresh flowers for a boutonniere are a bad idea.  They get squished when you hug everyone and then fall apart.  –Mike

On the day, try not to sweat the small things and enjoy every moment. -Rachel

Let other people do things on your wedding day.  You don’t have to help, you can hire someone for that.  It will just distract you from your day.  -Eric

I made a point of speaking to everyone who attended our wedding.  In hindsight i wish i had just enjoyed the day more: danced and ate and let those who really wanted to talk come to me! I missed out on a lot of fun times with the wedding party. –Mandy

When dress shopping, make sure you love it. When you have it on, you’ll know it’s “The One”. -Michelle

I was worried that not using a limo would be weird, but it was totally fine.  -Heather

Enjoy every bit of your day, don’t sweat the small things. –Sarah

Try to take the time to visit your friends and family throughout the day.  Between meals worked out great for us so you can visit a large group of people at one time. -Rachel

Pay for an excellent videographer. The first will and the later will ensure you always remember your day.  Pictures are not the same as video don’t cheap out and cut this!! –Mandy

You can’t make everyone happy. You will “step on some toes”.  -Dawn

Spend the money on a good photographer!!!  Those are your memories…don’t cheap out on that!  -Stephanie

If people are going to judge your wedding, they can skip out on the day and won’t be missed a bit! -Mandy

Your photographer matters. –Joanne

As a non-crafty person I’d suggest finding a venue that does it all! It was a life saver for me.  -Heather

A lot of the time I spent on decor really wouldn’t have mattered in hind sight. I spent probably half my time on that. –Emily

You will hurt someone’s feelings.  It is crappy, but they aren’t the ones paying the bill, are they?  -Melissa

For me, i worked so hard on the back drop when i really should have just used the beautiful space we were married in and added small accents.  It was a huge pain that was never really needed. -Mandy

It’s easy to get wrapped up in the bridal world but try and step outside and think of all the extras. Will really make you happy and make your day more enjoyable? Sometimes it was yes and sometimes it was no! It’s easy to get caught up in the excitement and lose sight of budget and what’s important.  –Sarah

If you are crafty and can figure out how to use a cricut craft cutter machine.. buy one and you will save hundreds!!  -Mandy

Don’t worry about inviting ALL of your family.  Wouldn’t you rather have your friends there with you than a stinky Uncle who you rarely see?  Invite people who are actually involved in your lives.  –Melissa

Bring an umbrella.  –Mike

Make your wedding whatever you want and don’t feel like you need to follow the “rules”. They are stupid and no one will shame you for doing what you want – make it your own!  -Mandy

Congrats, you’re engaged! Now what?

Perhaps something sparkly was under your Christmas tree, or maybe the love of your life popped the question at your family festivities.  No matter how the proposal happened, it’s time to focus on the 2 of you and your upcoming wedding!

Before you get overwhelmed, we have 5 tips for you to guide your steps and make your dream wedding into a reality.

1. Make a Dream Board with your Significant Other – brainstorm what your wedding day “Must Haves” are.  Do you envision your vows being exchanged on a waterfront?  Need to have the venue coated in fresh flowers?  Would you want a giant party, or an intimate setting?  Do you dream in vibrant colours, or dream of a black tie affair?

2. Set boundaries – once you have your top dreams shared between the 2 of you, decide what you will and will not compromise on.  Are you willing to allow extra guests, more then you envisioned, if the location is precisely what you wanted?  Would you accept a buffet dinner if it afforded you a larger venue? Decide what is non-negotiable for your special day.

3. Find your allies – Your biggest cheerleaders do not have to be in your bridal party, but they could be.  Find someone (or a few people) who support you and your fiancée, and will speak on your behalf. When you’re favourite Aunt Karen offers to make your invitations by hand, or your Grandmother suggests you wear her dress, they can back you up on what exactly you had in mind.  If that’s what you want, great!  If not, rely on your allies to back you up (see #4!).

4. It’s ok to say no – Helping hands will come forward from all sorts of places.  Colleagues, family members, and friends will turn up to offer you things like a free bartender, a recommendation for an officiant, or a discount on a caterer. Keep your eyes on the prize – your dream wedding!  (see numbers 1 & 2)  You can kindly decline the help of others, while still valuing them as a part of  your circle.  Be kind, and gracious. Over time, it will get easier to say no, especially when you share what you had in mind instead.  Saying no to what is offered, gives room for a yes to what you really want!

5. Dream Big – Before you crunch the numbers, remember that this will be an important day in the life of you and your fiancée. You get to dream as big as you would like!  Nothing is off limits, and even if you think it is beyond your budget, wait and see.  There are ways to find discounts and efficiencies that you may not have thought of before (watch for a post on that topic to come!)
